VML is seeking a highly organized and detail-oriented Office Manager to join our team. The ideal candidate will be responsible for ensuring the smooth and efficient operation of our office by handling a variety of administrative and clerical tasks. The Office Administrator will play a crucial role in supporting daily office activities, coordinating with various departments, maintaining a positive and professional work atmosphere, and actively contributing to our company culture through event planning and coordination.

 What you'll do:  

  • Facility Management:
    • Oversee office cleanliness and organization.
    • Coordinate repairs and maintenance of office equipment.
    • Liaise with building management for facility-related issues.
    • Lead office design and remodel projects.
  • Meeting Management:
    • Work with Community Leader on All Staff meeting agendas and events.
    • Schedule and organize meetings, appointments, and events for clients and vendors.
    • Manage conference room reservations and set up for meetings.
  • Communication and Correspondence:
    • Distribute internal and external communications related to the office.
    • Maintain and update distribution lists and Teams channels.
  • Visitor Management:
    • Greet and assist visitors, clients, and employees.
    • Issue visitor badges and ensure security protocols are followed.
  • Culture and Event Planning:
    • Plan and coordinate company events, such as team-building activities, holiday parties, and recognition ceremonies.
    • Manage all events to the assigned budgets. 
    • Organize employee engagement activities to boost morale and promote teamwork.
    • Lead local office ERG groups.
  • IT Support Coordination:
    • Serve as the primary point of contact for IT support requests from employees.
    • Manages ordering of equipment and procurement.
    • Provide initial troubleshooting and direction to employees for common IT problems.
    • Coordinate with the IT department for escalated issues and follow up on ticket statuses.
    • Coordinate equipment for new hires and leavers.
  • Supply Management:
    • Order, receive, and stock snacks, drinks and other supplies for the office.
    • Monitor inventory levels and place orders as needed to maintain adequate stock while staying in budget.
    • Ensure cleanliness and organization of all pantry areas.

Who you are: 

  • Open and collaborative | Willing to jump into something new each day while being solution minded and focused on working with team members to accomplish goals. You are vocal and open to discussion when it comes to solving business objectives.
  • Self-Motivated | Able to stay motivated and active through workload ebbs and flows. Enjoys autonomy and takes initiative. Ability to prioritize and work through interruptions.
  • Organized | Meticulous and well-organized; able to perform as an effective project manager for internal initiatives.

What you'll need: 

  • Minimum 3 years of experience in as an office administrator, office assistant or relevant administrative role.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with office equipment and basic troubleshooting.
  • Ability to work independently and as part of a team.
  • High level of confidentiality and discretion.
  • Resourceful - A problem-solver mentality.
